How to configure an Empower moov

This article describes how to configure a client for the Standard 401k to Empower moov definition.  Each client configuration will vary based on their plan specification and will need to be configured accordingly.

 

If you have not already done so, please add the Standard 401k to Empower moov to your account by following these steps.

 

Once the Standard 401k to Empower moov has been added to your account, access the moovs section on the left side menu and click on the Standard 401k to Empower moov.

 

 

Notification Settings

 

The Standard 401k to Empower moov provides a notification for when the moov is complete.  The notification can be sent to any email address you wish and can also be configured to send to multiple email addresses. 

 

To edit the notification step, click on the cog icon under the Action - Notify step on the left.  Then toggle the "Use default parameters" off and enter in the email addresses you would like to receive the notification.  If you would like to enter multiple email addresses, separate them with a comma.  A Reply to email is also required in the event that a recipient of the notification replies to the email.

 

 

Note: these settings apply to any client configuration you set up for this specific moov.  You also have the ability to configure the notification step for each client configuration if you wish to add or remove email addresses per client.

 

To save your parameters click on the Save Changes button.

 

Configure a client

 

In the moov configuration section, click the Add button to add a new client to send retirement data to Empower.

 

 

Complete the ID and source

 

Client/Entity - either select an existing client or click the + sign to create a new client. 

Status - the status field is important when configuring a new integration with Empower as it provides the correct file name used to send to Empower while in their testing phase.  This field should be set to 'Testing' until the testing phase has been completed.

Expected Frequency - the client's payroll frequency

File Name Starts With - typically the client or company code within your payroll platform.  The value entered into this field is important as the file you send to detamoov must start with this value.

File Name Contains - optional value that is included in the file name

UKG Ready Users

 

If you are a UKG Ready user and an employee was not paid in the current pay period, a field override is needed to provide the Checkdate.  detamoov has provided custom fields that take the existing dates from the source file and allow you to apply them to the missing fields.

 

To provide the override custom fields, locate the Action - Transform step, click the Field Overrides panel, and click the Add button. Then select the appropriate field from the Output Field dropdown, change the Override Type to Custom Field, and then select the Custom field from the dropdown menu as shown below:

 

 

Field Overrides

 

Empower requires the Plan ID be included in the file sent to them.  If you do not store the Plan ID in payroll, a field override is required.  To add a Field Override, locate the Action - Transform step, expand the Field Overrides panel and click the Add button.  Then select the appropriate Output field, set the Override Type to Text and enter the Override Value.

 

Empower also requires that the Pay Frequency be included.  To ensure this field is correct, create a field override for the Pay Frequency field.

 

The following are the accepted values for the Pay Frequency field:

 

M = Monthly
S = Semi-Monthly
B = Bi-Weekly
W = Weekly
Q = Quarterly
A = Annually

 

To add a Field Override, locate the Action - Transform step, expand the Field Overrides panel and click the Add button.  Then select the appropriate Output field, set the Override Type to Text and enter the Override Value.

 

 

Transformation Overrides

 

The following table demonstrates the default field mappings from the Standard 401k to the Empower contribution fields.  In some plan configurations, these default mappings will need to be changed.  As an example, say your client's plan has a Safe Harbor Employer Match instead of using the Employer Match field.  An override will be needed to change the mapping for the Contribution Amount 2 field and the Contribution Amount 6 field.

To add a transformation override, locate the Action - Transform step, expand the Transformation Overrides panel and click the Add button.  Then select then Contribution Amount 2 field and click the ADD OVERRIDE button.

 

 

Then hover over the 'Numeric Padding' Transformation Rule and click the Trash Can icon to delete the rule.

 

 

Then hover over the 'Round Number - Forced Decimals' Transformation rule and click the Trash Can icon to delete the rule.

 

 

Once both rules have been deleted, change the Input Field to 'Current Payroll Safe Harbor Employer Match'.

 

 

Now that the field mapping has been changed to Safe Harbor Employer match, add the 'Round Number - Force Decimals' and 'Numeric Padding' back to the field and click OK.

 

 

Now that the Safe Harbor Employer Match is mapped to the Contribution Amount 2 field, the mapping for Contribution Amount 6 will need to be removed.

 

Click the Add button on the Transformation Overrides panel and select then Contribution Amount 6 field and click the ADD OVERRIDE button.

 

 

The Contribution Amount 6 field has four different Transformation Rules.  Hover over each rule and click the Trash Can Icon to delete all four rules.

 

Then uncheck both the 'Current Payroll Safe Harbor Employer Match' and 'Current Payroll Qualified Matching Contribution' fields.  The Transformation Override should now look like this:

 

 

Empower requires that any Contribution Amount field is padded with 0s if the employee is not contributing, so we need to add a default value of 0.00.  Click the Add Rule button and select Default Value from the dropdown. in the Default Value field, enter '0.00'.

 

 

Then click Add Rule and select the 'Padding Left' rule and enter a zero in the Fill Character field and click OK.

 

 

Footer (trailer) Record

 

Some Empower plans require a trailer record to be included with each payroll.  Please refer to your Empower plan specifications to determine if the trailer record is required for your client's plan.

 

No Trailer Required

 

If the trailer record is not required for your client's plan, you will need to remove it from the file.  To remove the trailer record, locate the Action - Header/Footer Rows step and toggle the 'Use default parameters' switch off.  Then, under the 'Footer Rows' section click the Trash Can icon to the right of 'Row index: 1'.

 

 

 

Trailer Record Required

 

The trailer record sent to Empower consists of the Plan ID and totals for the contributions in the standard 401k.  The following table shows the default values for each Contribution Total in the trailer record:

In most configurations, this will be the default values.  However, you may have a plan where the Contribution Amount fields are re-arranged depending on the type of contribution.  Looking at the example above in the Transformation Overrides section, we will need to re-assign the Custom Field created for the Safe Harbor Employer Match (Contribution Amount 2 Total) and then set the Contribution Amount 6 Total field to 0.00.

 

To override the trailer record, locate the Action - Header/Footer Rows step and toggle the 'Use default parameters' ON.  Then, under the Footer Rows section click the 'Row index:1'.

 

 

To update the Contribution Amount 2 Total field in the trailer, locate the Contribution Amount 2 Total component and click the Custom Field dropdown.  Then select the 'Trailer SH Employer/Qualified Match Total option.

 

 

Since you no longer map to Contribution Amount 6 Total, click on the Row Component Type dropdown for and select TEXT.  Then enter 0.00 in the Text Field.

 

 

Notification step overrides

 

At the beginning of this article you configured the notification step for the moov to send a notification once the moov had completed.  You also have the ability to configure the notification step for each client configuration if you wish to add or remove email addresses per client. 


To override the notification step, locate the Action - Notify step and toggle the "Use default parameters" off and enter/remove email addresses from Email Address and Reply To fields. If you would like to enter multiple email addresses, separate them with a comma.

 

 

To complete the configuration for your client, click the Next button at the bottom of the page and then the Save button on the moov summary page.
