How to configure a FloresHR HSA moov

This article describes how to configure a client for the Standard Benefit Contribution to FloresHR HSA moov definition.  Each client configuration will vary based on their plan specification and will need to be configured accordingly.

 

Note: the Standard Benefit Contribution to FloresHR generates two separate files:  Demographic/Enrollment and Payroll Deposit.  This article will define the configuration needed to send both formats in a single moov.

 

If you have not already done so, please add the Standard Benefit Contribution to FloresHR HSA moov located in the Benefits section by following these steps.

 

Once the Standard Benefit Contribution to FloresHR HSA moov has been added to your account, access the moovs section on the left side menu and click on the Standard Benefit Contribution to FloresHR HSA moov.

 

 

Notification Settings

 

The Standard Benefit Contribution to FloresHR HSA moov provides notifications for when the demographic/enrollment and payroll deposit files have been sent to FloresHR.  These notifications can be sent to any email address you wish and can also be configured to send to multiple email addresses. 

 

To edit the notification step for demographic/enrollment, click on the cog icon under step 8: Action - Notify on the left.  Then toggle the "Use default parameters" off and enter in the email addresses you would like to receive the notification.  If you would like to enter multiple email addresses, separate them with a comma.  A Reply to email is also required in the event that a recipient of the notification replies to the email.

 

 

Note: these settings apply to any client configuration you set up for this specific moov.  You also have the ability to configure the notification step for each client configuration if you wish to add or remove email addresses per client.

 

To save your parameters click on the Save Changes button.

 

 

To edit the notification step for payroll deposit, click on the cog icon under step 14: Action - Notify on the left.  Then toggle the "Use default parameters" off and enter in the email addresses you would like to receive the notification.  If you would like to enter multiple email addresses, separate them with a comma.  A Reply to email is also required in the event that a recipient of the notification replies to the email.

 

 

Note: these settings apply to any client configuration you set up for this specific moov.  You also have the ability to configure the notification step for each client configuration if you wish to add or remove email addresses per client.

 

To save your parameters click on the Save Changes button.

 

Configure a client

 

In the moov configuration section, click the Add button to add a new client to send HSA demographic, enrollment, and payroll deposit data to FloresHR.

 

 

Complete the ID and source

 

Client/Entity - either select an existing client or click the + sign to create a new client. 

Status - the status field is important when configuring a new integration with FloresHR as it provides the correct file name used to send to FloresHR while in their testing phase.  This field should be set to 'Testing' until the testing phase has been completed.

Expected Frequency - the client's payroll frequency

File Name Starts With - typically the client or company code within your payroll platform.  The value entered into this field is important as the file you send to detamoov must start with this value.

File Name Contains - optional value that is included in the file name

Field Overrides

 

Demographics and Enrollment

 

If you do not store the Employer ID (Group Number), Plan ID (Benefit Plan ID), or Account Type Code (Benefit Type) in payroll, a field override is required to provide these values for the demographics and enrollment records.  Please contact FloresHR or review the plan documentation if you do not have these values.

 

To provide a field override, locate step 5: Action - Transform, click the Field Overrides panel, and click the Add button.  Then set the values for the following fields specific to your client's plan:

 

3: Employer ID

31: Employer ID

32: Plan ID

33: Account Type Code

 

 

Payroll Deposit

 

If you do not store the Employer ID (Group Number), Plan ID (Benefit Plan ID) in payroll, or Account Type Code (Benefit Type) in payroll, a field override is required to provide these values for the payroll deposit records. Please contact FloresHR or review the plan documentation if you do not have these values.

 

You must also provide a Deposit Type value for the payroll deposit records using one of the following values:

 

1 = Payroll Deposit
2 = Prefunded

 

To provide a field override, locate step 11: Action - Transform, click the Field Overrides panel, and click the Add button.  Then set the values for the following fields specific to your client's plan:

 

2: Employer ID

4: Plan ID

5: Account Type

8: Deposit Type

 

 

To complete the configuration for your client, click the Next button at the bottom of the page and then the Save button on the moov summary page.
